Is using people's ID cards to collect data compliant with the regulations?

Yes, using people's ID cards as a means of identification and a source of data (contained on the microchip) is compliant with the regulations. However, using the national registration number is not permitted (apart from in exceptional circumstances).

Using the ID card number must be subject to a balance of interest analysis and its usefulness must be justified. Indeed, this is often one of the reasons companies choose to collaborate with Freedelity. Companies see us as a trusted third party which can act as a data controller, especially for processing data collected by reading an ID card.

Reading data from an ID card means processing personal data, so it is important to comply with GDPR and all the obligations which go with it in terms of information, transparency, rights of access, correction and deletion.

For Freedelity, these issues are of paramount importance when developing the shared updating of personal data in the CustoCentrix platform and the MyFreedelity portal.

What does the principle behind the shared updating of personal data provided by Freedelity involve?

Here is a description of the principle behind the shared update of personal data.

  • Freedelity has identified those pieces of data which are essential for carrying out direct marketing: identification data (full name, date of birth, home address, language, sex and a unique identifier) and contact data (postal address, email address, mobile number). These data make up the Freedelity file.
  • When personal data are collected by a client company of CustoCentrix, Freedelity checks whether the customer is already known in the Freedelity file. If they aren't, the customer is informed by the company representative that they will grant two levels of consent for the processing of their personal data. Consent is granted both to the company and also to Freedelity. The second level of consent makes the shared update of personal data possible.
  • When identifying a customer by reading their ID card or using the forms on the kiosks and other digital interfaces, Freedelity's algorithms can detect any changes that need to be made to their personal data (change of postal address, new email address, corrections of any kind, etc.)
  • The modifications identified are automatically copied over to the databases of those companies to which the customer in question has granted consent for the processing of their personal data.
  • This automated updating combined with methods to identify and manage unique profiles lays the basis for the use of CustoCentrix's other features.

In practice, imagine that as a customer, you gave consent for your personal data to be processed by company A. Since company A collaborates with Freedelity, it will have informed you in advance that your personal data will be processed by Freedelity. Your personal data will therefore have been saved to the Freedelity file. At that point, an email will have been sent to you for you to confirm your registration.

What happens if you move house and your address is updated on your ID card? If you go to company B, and agree to the processing of your data by company B via the reading of your ID card, the algorithms designed by Freedelity will detect that you have a new home address.

With the principle of shared updating, your profile with company A will be automatically updated without requiring any further action.

How are data which belong to my company managed? Are they shared with others?

For a company or brand which invests in collecting personal data and linking them to data about purchasing behaviour, visits to points of sale and use of digital channels, this dataset is strategic and is worth properly protecting.

These data are managed in a highly secure environment for each company using CustoCentrix. These data can only be accessed by people you have authorised.

These data can only be accessed using the CustoCentrix platform following individual authentication based on a username and password.

These saved and protected data relate to:

  • Customer consent granted to your company
  • Transactions: check-out visits, sales receipt details, e-commerce purchases, loyalty points, vouchers issued, use of vouchers, etc.;
  • Interactions: visits to terminals, reception, emails opened and clicked, receipt of text messages and direct mail, app usage, etc.;
  • segmentation and profiling carried out using the processing of the data collected, including data resulting from the enrichment process, for instance, data enriched using geomarketing methods.

What information needs to be sent to a customer about the processing of their personal data by Freedelity?

What are the alternatives for using ID cards to collect personal data?

Indeed, using an ID card cannot be made mandatory when registering for a club, entering a competition or becoming a member of a loyalty programme. Regulations require that alternatives are provided. After all, not all your customers will necessarily have their ID card on them and some may be from other countries.

Freedelity therefore offers a series of alternatives, including:

  • Filling in a form at a kiosk;
  • Forms or iframes integrated in the check-out system;
  • An iframe on a web server or website;
  • The MyFreedelity app;
  • Encoding data collected with paper forms.

What check-out systems can already be integrated with CustoCentrix?

Here is a link to the partner page showing the list of check-out systems for which an integration already exists.

Nonetheless, if your check-out software is not on the list, this shouldn't be an obstacle to collaborating with us. Our teams are well versed in supporting the development of this type of integration.

Do we have to change marketing automation solutions?

No, you do not have to change from your current solution. Our team will help you to weigh up the pros and cons of integrating your marketing automation solution.

If the contract is terminated, what will happen to the data contained in our account with CustoCentrix?

As you have seen, all the data processed through CustoCentrix remain stored in a secure environment which is strictly dedicated to your company only. From this perspective, Freedelity acts as a supplier and contractor covered by an agreement which clearly states that in the event that the contract is terminated, the data collected shall remain accessible so that they can be extracted by your company using the CustoCentrix export feature.
